Minority Rights Group is looking to recruit a Receptionist/Finance & Administration Intern for our Head Office in Commercial Street, Spitalfields, London
You will have to be based within a commutable distance from our office.

Minority Rights Group International (MRG) is a nongovernmental organisation (NGO) working to secure the rights of ethnic, religious, and linguistic minorities and indigenous peoples worldwide, and to promote cooperation and understanding between communities. Our activities are focused on international advocacy, training, publishing and outreach. We are guided by the needs expressed by our worldwide partner network of organisations, which represent minority and indigenous peoples.

MRG works with over 150 organisations in nearly 50 countries. Our governing Council, which meets twice a year, has members from 10 different countries. MRG has consultative status with the United Nations Economic and Social Council (ECOSOC), observer status with the African Commission on Human and Peoples’ Rights and is a civil society organization registered with the Organisation of American States (OAS). MRG is registered as a charity and a company limited by guarantee under English law, registered charity no. 282305, limited company no. 1544957.

Ideally the intern will be able to commit to 2 days/week, Mondays and Thursdays. In the period between mid February to mid March the opportunity can be extended to 5 days/week

Main duties and responsibilities

  1. Reception duties
  • Take overall responsibility for ensuring the reception area is well maintained and organised at all times.
  • Answer switchboard incoming calls, deal with general telephone queries about MRG and ensure callers receive relevant documents on request.
  • Check overnight voice mail messages on switchboard answerphone and pass on to appropriate staff.
  • Scan incoming email messages and forward to the relevant staff member.
  • Check incoming faxes to the general MRG fax file and distribute to the relevant staff
  • Sort and distribute incoming daily post recording all cheques and other payments received, and copying covering documents to relevant staff as required
  • Ensure outgoing mail is correctly franked each day ready for collection at 3.00pm
  • Welcome visitors to MRG.
  1. Office administration
  • Maintain office supplies (including tea, coffee, drinking water etc.) and order office stationery on a regular basis.
  • Ensure that stationery supplies are well organised and distributed as required throughout the building.
  • Ensure that all office machines (fax, telephone, answer machine, franking machine, and photocopier) are in good working order, call relevant maintenance engineers if problems arise and alert staff.
  • Use of the franking machine and arrangement for post and courier services.
  • Provision of keys and alarm key fobs to staff and maintenance of records of keys and key fobs issued.
  • Assist with general administrative work including:
    a) Photocopying and binding documents for e.g. Council and Committee;
    b) Assist staff with photocopying, packaging post, sending faxes;
    c) Assisting with filing in the finance dept.
  1. Other areas
    • Provide advice to, and liaise with all MRG staff on administrative matters
    • Undertake such other tasks as may reasonably be requested by the Head of Admin and Finance, the Director or Deputy Director from time to time.
    • Degree of supervision: The intern will be expected to work on their own initiative on a day to day basis but with supervision and advice available on non-routine tasks.

MRG can reimburse the intern's expenses: up to £5/day for lunch, up to £7/day for travel.
