JOB SUMMARY:The Grants Assistant Internship (GAI) will extend approximately 6 months with a commitment to Right To Play of working 3 days per week. The (GAI) is responsible for supporting the Right To Play Program Operations team in the financial implementation of a portfolio of program grants and contracts in compliance with both donor and Right To Play policies and procedures. This position will assist the Program Operations team in providing program and proposal budget development and financial reporting.

The GAI will learn about and work on critical tasks related to the management of institutional grant funding in the International Development sector and the general terms, conditions and contractual obligations this entails. The GAI reports to the Director, Program Operations and the position is located at the International Headquarters in Toronto, Canada.

PRIMARY RESPONSIBILITIES:Job Responsibility #1: GRANT AND CONTRACT ADMINISTRATION (50% of Time):• Assist in the review of draft contracts and identify deliverables• Assist in preparing and up-dating grant summaries and maintain information on sub-contracts with partners• Assist in the monitoring and review of implementation rates (budgets vs. actuals)• Assist in the processing of grant-related purchase requests, invoices and payments• Provide administrative support in processing documentation for approval, preparing printouts for presentations and coordinating meetings as requested by colleagues• Maintain grant and contract information, correspondence and files, both electronic and hard copy.
• Assist in updating restricted funding report tracker on a quarterly basis• Assist in preparing and updating local funding tracker

Job Responsibility #2: FINANCIAL MONITORING AND REPORTING (25% of Time):• Assist in the preparation and review of internal and external reports to donors and others as required.• Assist in the analysis of budgets, actuals, donor and financial management reports.• Provide assistance as needed in the annual revenue recognition and audit process.

Job Responsibility #3: PROGRAM BUDGET DEVELOPMENT (25% of Time):• Assist in the development of new project budgets, notes and narratives for funding proposals. • Assist in ensuring that proposal budgets aligns with donor requirements • Assist with the annual Right To Play budget development and upload process. Coordinate timely submission of budgets from assigned regions/countries. • Assist in ensuring Right To Play activity based budgets are aligned with approved grant budgets. • Submit revised budgets to the finance team. • Maintain accurate and accessible records of uploaded budget for assigned regions/countries.

EDUCATION/TRAINING/CERTIFICATION:Required (must have): College Diploma or Undergraduate or Masters Degree in Accounting, Business, Management, Finance or related field with strong experience.

EXPERIENCERequired (must have): • 1 to 2 years of work experience

Desired (asset): • Fundraising or business development• Grant management or co-funding experience in the international development context• Direct experience with government international development agencies such as USAID, CIDA, Norad or other European agencies• Experience in budgeting and financial management, contract analysis and building tracking systems

KNOWLEDGE/SKILLS REQUIRED:Required (must have):• Strong analytical skills • Understanding of financial relationships and trends• Team player; good interpersonal skills and cross-cultural communication • Results oriented, organized, multi-tasker• Strong Microsoft Office skills, especially Excel • Financial analysis; Budgeting; Financial reporting• Excellent oral and written communication in English. Ability to work in a second language is an asset.

Desired (asset):• Understanding of the international development sector• Understanding of Government funding programs• Understanding of Accounting software, preferably ACCPAC

Compensation: Unpaid (stipend of $500/month)Employment Start Date: November 1, 2013Contract Duration: November 2013- April 2014 (3 days per week)
