The role
The Logistics Administrative Assistant has the responsibility to assist with the delivery of timely, effective and accountable support to Save the Children International Procurement Unit. The Logistics Administrative Assistant will help country programmes throughout the order management proces s and provide meaningful support to the Procurement Coordinators.
Key areas of accountability
* Working closely with country programmes to ensure needs are turned into meaningful specifications
* Obtain and evaluate quotes in line with Save the Children minimum standards of logistics procedures
* Assist country programmes through the order management process
* Place orders with suppliers and: track all orders placed through to requester
* Ensure that the procurement tracker is regularly updated and circulate snapshots to country programme logistics managers weekly
* Order administration and filing including processing of invoices
* Help to update the supplier database
* Put together a flow chart on “how to charter a flight in an emergency response.” This will need to clearly detail the responsibilities expected of both the supplier and Save the Children at every stage of the process. The Logisti cs Assistant will also create a quote request template specific to this process.
In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal job description and be able to vary working hours accordingly.
Qualifications and experience
* International experience in supply chain management
* Excellent IT skills
* Fluency in written and spoken English
* Proactive and result-oriented.
* Commitment to and understanding of Save the Children International’s aims, values and principles.
