Dynamic personal assistant to the Executive Director with multitasking skills, and the ability to work well under pressure.
Main responsibilities of the position:Perform a wide variety of executive secretarial and administrative duties as required by daily operations in the ED’s office;
Preparing and administering the ED’s budget and finance reports;
Organising senior management, Trustee and other high-level meetings and liaising with senior staff, diplomatic officials, etc;
Professional and accurate minute taking and report writing;
Screening telephone calls, enquiries and requests and independently respond to letters and general correspondence of a routine nature;
Make travel arrangements for the ED, maintain appointment schedules, arrange and coordinate meetings and conferences;
Maintain and update contact databases;
Company secretarial duties;
Communication and professional engagement with ISS stakeholders and partners.
Position Requirements:Minimum 8 years experience in an executive administrative environment;
A three year diploma in secretarial studies;
Proven competence in MS Office and database experience;
Proven experience and competence in minute taking and report writing;
Experience with making logistical arrangements for organising seminars and meetings;
Exposure and willingness to travel in Africa essential;
Experience in financial administration;
The successful candidate must also be self-motivated, focused, deadline driven, action-orientated and have good work ethic;
He/She also needs to have good people skills, excellent organisational skills, and be able to cope well in a fast paced, challenging environment.
Salary: Competitive market related salary offered
