Official CPI Job Description
Responsibilities:
Support CPI AFG field office operations in areas including vehicle, computer, internet, and general office repair and maintenance.
Support logistics, communications, and coordination with national staff.
Support CPI’s accounting staff in documentation, reporting, and compliance
Manage general office operations during short-term scheduled absences of the Country Director (vacations, overseas business, etc.)
Provide CPI management with recommendations concerning the most efficient and effective means of transferring AMATC operations from CPI to OMAR.
(Secondary Objective) Assist with and oversee the design, layout, and transfer of equipment, supplies, and materials from AMATC’s current location to its new location (TBD)
(Secondary Objective) Provide technical assistance in support of orders accepted, booked, and initiated by AMATC during the contract period.
Description of Current Responsibilities and Roles
- Management of Field Office Administration & Finance including:
1.1. Developing and documenting internal processes and control systems
1.2. Procurement of official equipment and supplies and professional services
1.3. Budgeting and Accounting of grant funding in accordance with reporting and compliance requirements
1.4. Maintaining records in accordance with grant reporting and compliance requirements - Management of Field Office Facilities & Assets including:
2.1. Facilities staff
2.2. Facilities maintenance and repair
2.3. Asset maintenance and repair
2.4. Asset inventory
2.5. Asset usage tracking in accordance with reporting and compliance requirements - Management of Field Office Logistics, Security & Government Affairs including:
3.1. Local transportation of CPI property and personnel
3.2. Regional, national and international travel of CPI property and personnel
3.3. Security staff and emergency supplies and processes
3.4. Compilation and timely submission of government reporting and compliance requirements, (reports, documentation, taxation, etc.)
3.5. Track and facilitate registration, work permits, and stay visas and all other regulatory requirements for international expatriate personnel - Management of Field Office IT & Internal Communications including:
4.1. Development of internal communication and knowledge transfer platforms (Pathways, Task Manager, etc.)
4.2. Computer and Network Maintenance
4.3. Document formatting
4.4. Graphic Design & Photography - Management of Spark Production & Inventory:
5.1. Production staff
5.2. Product development
5.3. Manufacturing processes
5.4. Manufacturing machinery and equipment
5.5. Raw material inventory tracking
5.6. Supply inventory tracking
5.7. Product inventory tracking - Support of IP financial reporting and compliance
- Support of Program M&E and Data Management
- Support of Proposal Development
- All other duties as may be assigned by the Program Manager and/or Country Director
PERSON SPECIFICATION
Essential requirements:
• A Bachelors degree (Business Administration) and/or other Degree as per the job description
•Masters Degree Preferable
• Fluency in English knowledge of Dari an advantage
• At least 4 years’ experience in operations and/or management/administration within an international non-governmental organization (INGO)
• Management experience, including line managing projects at a distance.
• Strong computer skills including: Microsoft Word, Excel and Power point
• Experience of living and working in a difficult environment
• Experience of conducting capacity-building for national staff
TERMS AND CONDITIONS
• Probation: There will be a probationary period of three months
