ORGANIZATIONAL UNIT: Office of the Executive Director (OED)
ORGANIZATIONAL SETTING:
The post is located in the Office of the Executive Director (OED). Under the guidance and direct supervision of the Chief, Office of the Executive Director (OED), the staff member who will occupy this post will be responsible for supporting OED in coordinating inputs to policy review and management responses to audits (both external and internal).
DUTIES AND RESPONSIBILITIES:
Management and advisory In coordination with the Division for Oversight Services and concerned units, monitoring pending internal recommendations:
• Work with the implementing business units to address the pending recommendations;• Provide technical or coordination support to the implementing business units as needed to ensure that those pending recommendations are acted upon urgently;
In coordination with the United Nations Board of Auditors (BOA), monitor pending external recommendations: • Provide support to the BOA throughout the year for their audit activities;• Inform field offices (i.e. Procurement Services Branch, Regional Offices, Country Offices, Liaison Offices) of any pending audits;• Provide the units with pending audits with information on what documents they need to prepare ahead of the BOA visits;• Ensure security clearance of BOA ahead of their departure from their country;• Ensure their visa status ahead of their departure from their country; • Liaise with other business units especially the country offices in order that BOA receives the necessary documents in a timely manner;• Work with the implementing business units to address the pending recommendations; • Provide technical or coordination support to the implementing business units as needed to ensure timely action on the pending recommendations;• Monitor implementation through systematic reports and follow up matrices ;• Monitor and help uploading of documents by related business units • When the BOA audit report for the year is received, organize meetings with business units with recommendations; review the UNFPA management responses and implementation status with BOA; draft formal management response to BOA;• Draft UNFPA inputs to SG report to GA on the implementation of the BOA recommendations by end July based on the management response sent to BOA per above, in collaboration with the Division of Information and External Relations (IERD); and the Audit Advisory Committee (AAC) and other relevant units• Provide status of audit implementation (internal and external) to the Deputy Executive Director (Management) prior to the arrival of the thrice yearly visits of AAC to the HQs.• Accompany DED(M) to the meetings to answer any additional questions AAC might have.
On the Audit Monitoring Committee (AMC)• Assume the role of the secretariat to the AMC:• Prepare status overview for BOA recommendations;• Solicit updates from Internal Audit Branch for implementation of internal audit recommendations;• Solicit updates from NEX;• Solicit other business units for presentation and/discussion of pertinent issues at the AMC;• Draft minutes of the meeting and upload the presentation and the final minutes on the AMC webpage; and• Supervise the logistics of the AMC meetings. • The staff member is also expected to assume other relevant duties that may be assigned by the OED Chief.

QUALIFICATIONS AND EXPERIENCE:
• Advanced Degree in in business, accounting, or management ;. • 5 years of relevant experience in accounting and familiarity with audits• Must understand programme and operational issues;• Proficiency in use of excel spreadsheets or similar applications• Must be able to work independently;• Fluency in English required and knowledge of other UN languages, French or Spanish, an asset.
