Australia: Exhibition and Networking Zones Supervisor - Global Village and Youth Programme

Melbourne, Australia has been chosen to host the 20th International AIDS Conference (AIDS 2014) from the 20th - 25th July, 2014; the largest international meeting on HIV, where every two years up to 25,000 participants representing all stakeholders in the global response to HIV meet to assess progress and identify future priorities. AIDS 2014 is organized by the International AIDS Society (IAS), in partnership with government, scientific and civil society partners in Australia and globally. Based in Geneva, Switzerland, the IAS is the world’s leading independent association of HIV professionals.The Exhibition and Networking Zones Supervisor for the Global Village and Youth Programme is a full-time position that will commence in late march until August 2014.Accessible to both registered conference participants and the general public, free of charge, the Global Village and Youth Programme offers a unique platform for diverse activities that bridge all areas of science, leadership and community. The Exhibition and Networking Zones Supervisor for the Global Village and Youth Programme is a full-time position that will commence in late march until August 2014.

The Exhibition and Networking Zones Supervisor will be expected to carry out the following responsibilities:

KEY RESPONSIBILITIES:

  • Be the point person for Global Village and Youth Programme exhibition booths (NGO and marketplace), and designated networking zones;
  • Respond to inquiries from activity organizers or participants involved in exhibition space and networking zones located in the Global Village and Youth Programme at AIDS 2014;
  • Lead the development of programme activity work plans and budgets, the session planner, progress reports, minutes from meetings, printed material and web content relevant to exhibition or networking zone activities, as required;
  • Administration of logistics procurement for the exhibition, including assisting with shipping of materials;
  • Plan and coordinate the implementation of Global Village and Youth Programme exhibition space and networking zones, including the provision of logistical support, scheduling, set-up, and resource mobilization for volunteers, conference materials and equipment;
  • Assist in preparing a final post-conference report for the Programme Activities team at AIDS 2014;
  • Oversee events related documentation as required, including: drafting of invitations, contracts, contact listings/directories, build-up and dismantle plans, and schedules;
  • Perform other duties as determined by the Global Village and Youth Programme Coordinator.

The following selection criteria are essential for the Exhibition and Networking Zones Supervisor position:

ESSENTIAL SELECTION CRITERIA

  1. Experience in a non-profit, preferably community-based organization;
  2. Excellent organizational, coordination and problem solving skills;
  3. Demonstrated skills and experience in contributing to the planning, organization and coordination of a significant community event, preferably at an international level;
  4. Strong communication skills, including the ability to interpersonally liaise across a diverse range of stakeholders, cross-culturally, with community, government, donors, academic and private sector. Communication skills required are extended to writing and presenting in English;
  5. Ability to handle multiple tasks and meet deadlines under pressure in a fast-paced, complex, multi-stakeholder environment;
  6. Competency in Microsoft Office Suite applications (Word, Excel, Power Point, Outlook), and a willingness to learn and use tailor designed applications for events logistics procurement administration;
  7. Able to work a flexible schedule including some evenings and weekends, increasingly during the lead up and conference period;
  8. Experience working with and supporting volunteers and committees;

PREFERRED BUT NOT ESSENTIAL SELECTION CRITERIA:

  1. Experience or understanding of International AIDS Conferences or the HIV sector is an advantage, but not essential;
  2. A working understanding of the principles central to community development is highly desirable; and,
  3. Ability to speak one of the United Nations recognised international languages.

Afghanistan: Donor Liaison and Networking Officer

Duties & Responsibilities:

Responsible for fund raising, program planning and budgeting:

• Responsible for conducting the full range of activities required to prepare, submit, and manage grant proposals to public, foundation, and corporate sources:
• Research new funding prospects; analyze prospects to identify likely funding sources for specific projects, programs and other programming needs.
• Perform prospect research on possible donors to evaluate prospects for grants; engage with program officers at funding organizations to solicit invitations to submit proposals.
• Gather information from internal program personnel that will ensure understanding of the concept of a project or program for which funding is sought.
• Generate proposals and supporting documents in response to solicitations and ensure that proposals generates are gander mainstreamed.
• Maintain contact with grant-making organizations during their review of a submitted grant application in order to be able to supply additional supportive material.
• Arrange donors visit at project areas in coordination with other staff.
• Identify and design special events to support fundraising goals; assist with other fundraising projects as requested.
• Compliance to systems and follow-up processes, effectively work under pressure, use independent judgment, and produce a quality work product within tight time constraints.
• Ensure that projects assigned include and follow appropriate M&E systems, allowing for the documentation of best practices, lessons learned, and successes, and the use of M&E information and documentation to continually improve programming. Ensure that regular monitoring activities and other field activities requirement of the projects assigned to him are augmented on a timely basis.

Consultation and Coordination.

• Attend regularly held meetings to represent the organization. He/She will also be responsible in identifying other appropriate staff to attend meetings where deemed necessary and/or beneficial.
• Coordinate with other Governmental or Non-Governmental organizations for projects/programs improvements. Intensive networking is required.
• Submit required information to relevant Governmental authority on timely manner keeping in mind that management are taken into confidence.
• Work closely with AD-CHRM of DMP in networking with donors and other agencies in order to enhance visibility of the organization.
• Coordination with other technical staff in providing technical inputs or any other required assistance by other projects implemented under the Disaster Management Program. (Depending on expertise)
• Will coordinate closely with other organization’s programs especially in projects where other programs are also involved. Will ensure that other specialization of the organization is integrated into on-going projects (e.g. Capacity Building of partners through CBP. Monitoring of projects with SPHERE and HAP focal persons, gender mainstreaming through CBP etc.)
• Will work closely with other departments and ensure that the information requested by other departments is provided in a timely manner.

Records and Reporting.

• Ensures that the all projects/programs-related information are regularly updated and neatly organized, and share such information with Associate Director-CHRM/DMP upon request.
• Ensure the accurate and timely preparation of all narrative, financial, statistical, and other reports required by Associate Director-CHRM/DMP, or any other agencies related to the projects/programs in Pakistan.
• Ensure timely correspondence at all times.
• Ensure that knowledge gained through trainings are disseminated to other Disaster Management Program staff.
• Maintain records of submitted grants in database and in paper files, including grant tracking and reporting.
• Provide input for all written organizational materials (including Annual Report, newsletter, and website).
• The duties listed above covers most of the task that would be performed by the individual in this position; however the Donor Liaison & Networking Officer can also be assigned any other Official task by RR/Management as and when required

Qualifications :

• For the post of Donor Liaison and Networking Officer a university degree from recognized university and 3-5 years experience in the field of humanitarian response and /or development is considered necessary.
• This position requires comprehensive knowledge regarding development projects/programs, report/proposal writing, and management of staffs.
• This position also requires sufficient knowledge in humanitarian/development sector in Pakistan and Afghanistan. Knowledge in gender mainstreaming will also be an advantage.
• The Donor Liaison and Networking Officer needs to have good inter-personal skills and should have experience in staff management and networking with relevant organizations.
• Good writing, analyzing, reporting, and presenting skills are additional requirements for this position.
• Good English, Dari & Pashto are essential.
• The Donor Liaison and Networking Officer must be tolerant and sensitive to needs of religious and ethnic minorities, women and the poor.
• In the absence of the supervisors, the Donor Liaison and Networking Officer must have the confidence, initiative, patience and integrity to work independently.
• The Donor Liaison and Networking Officer is required to follow organization Accountability Framework and its commitment to the Codes of Conduct practiced by the organization. The Donor Liaison and Networking Officer will ensure his/her commitment to the organization mission and values and for working in accordance to her job expectations
