Germany: Traineeship in Event Management

The International Civil Society Centre is currently offering a Traineeship in Event Management.
The Centre:
Over the past five years the International Civil Society Centre has established itself as an action platform for the world’s leading international civil society organisations (ICSOs). Our aim is to improve the efficiency and effectiveness of ICSOs by bringing together the most important actors, facilitating communication and enabling cooperation. Our main events have become fixed dates in the calendars of key leaders in the civil society sector and we provide services for collective ICSO projects. A large number of the CEOs from leading ICSOs are regular participants in the Centre’s programmes and play a key role in defining and forming the activities. The Centre is offering a “Project Assistant” traineeship in the Event Management Team.
This is a unique opportunity to take on an entry-level position in a fast-paced international environment, contributing to the development of a young and ambitious organisation which supports the world’s top CSOs. The traineeship is designed as an ambitious on-the-job training within a small, enthusiastic team and suitable for recent graduates who are keen to gain first-hand experience in the civil society sector and its management. Following a thirteen month training period with the Centre, there is a possibility that the candidate is offered a further five month training period with a partner organisation, thus having the opportunity to gain thorough insights into two different civil society organisations working on the international level.
Key Tasks:
As Project Assistant you will be a part of the Event Management Team and will help to prepare, conduct and follow up on the Centre’s workshops and conferences. Responsibilities will include:
• Support the logistical organisation of events: liaising with hotels, restaurants and caterers, set-up, equipment, organising cultural programmes etc.
• Take on the logistical lead for one of the Centre’s research projects
• Support the daily work of the Project Manager (eg. preparation of meetings and calls)
• Database maintenance and development; updating invitation and participation lists
• Handle in- and outgoing correspondence with participants, speakers and partners
• Preparation and layout of documents: reading lists, agenda, evaluations and conference reports
• Customer service: providing a friendly, reliable and efficient service to event participants
• Translations and proof-reading of documents in German and English
• Updating the Centre’s website in relation to workshops and conferences, supervising event related online discussion forums
• Conduct internet research on specific organisations, networks, conferences etc.
• Fulfil other tasks as assigned by the Project Officer and Project Manager
The Project Assistant’s direct line-manager will be the Project Officer.
Learning objectives:
• Gaining key management and coordination skills both in administration and project-based work
• Ability to organise a conference to excellent standards
• Ability to work effectively and efficiently as part of a team, but also take initiative, identifying gaps and proposing solutions
• Clearer understanding of possible career paths and own potential
• Understanding of the sector’s main challenges and means to address these
• Insight into different ICSOs within global civil society
• At least one in-house staff training on a topic relevant to the work of the Centre will offer an additional learning opportunity
Requirements:
• Strong interest in event management and administration of ICSOs
• Proactive attitude and willingness to assume own areas of responsibility
• Excellent organisational and coordination skills
• Ability to work under pressure and meet tight deadlines
• Diligent, reliable and focused way of operating with strong attention to detail
• Strong communication skills; fluent in English and German and very good writing and editing skills
• Team spirit but also the ability to work independently
• Excellent MS Office skills (Word, Excel, PowerPoint, Outlook)
• Experience in website and database administration is an asset (HTML, CRM and CMS, in particular Expression Engine)
Conditions:
Duration: 13 months at the Centre and potentially 5 months in another ICSO – the latter is to be confirmed
Working hours: 40 hours/week
Holidays: 26 days p.a.
Compensation: 900 € per month before tax
