Background

SolarAid is a London based international development charity tackling poverty and climate change by building sustainable markets for solar energy. Our social enterprise, SunnyMoney, is the leading distributor of solar lights in Africa. Currently operating in Tanzania, Malawi, Zambia and Kenya we are a fast-growing, ambitious charity with a goal to eradicate the kerosene lamp from Africa by 2020. Our award winning community distribution model is catalyzing a market for pico-solar products: providing economic opportunity for businesses and local entrepreneurs whilst making clean, safe light accessible in remote rural areas.

The role

We have a fantastic opportunity for a talented and organised individual to gain valuable insight into the running of an award-winning charity. Providing direct support to our Managing Director as well as our small London office, you will have the chance to learn how a successful, rapidly growing charity and social enterprise operate. You’ll need to be a highly organised multi-tasker and confident communicator who enjoys working in an environment where not every day is the same. We are an innovative and entrepreneurial bunch of people so we’re looking for a similar kind of person to take on this role. Although some of the tasks will be a little mundane, there will be plenty of other times when workloads are demanding, when deadlines are to be met and when many balls are required to be juggled simultaneously!

Key responsibilities

Personal Assistant

• Email management support

• Diary management – meeting scheduling and daily plan, co-ordinating with personal disability PA.

• Preparing draft documents for internal and external use.

• Adding contacts and organisation onto the CRM database.

• Collating and presenting management information data.

• Ad hoc fundraising research as required.

General Administration

• Handle all primary calls arriving in from our main external telephone line, screening calls as appropriate and diverting them to relevant teams/departments as necessary.

• Handling group email accounts ( info@solar-aid.org / recruitment@solar-aid.org ), filtering our junk email, replying to generic queries and directing important/department specific emails to relevant SolarAid staff members.

• Processing any post that arrives in the London office, removing junk mail and providing post to relevant departments.

• Packaging and sending solar lights to supporters as requested.

• Co-ordinate flights for SolarAid staff members that will be travelling to Africa.

• Provide ad hoc support to team members as required.

Fundraising Support

• Ensuring all new donors and donations (both online and by post) are logged on our database and thanked in a timely manner.

• Banking of cheques received to the London office.

• Reconciling our direct debit mandates and logging on the database.

• Logging Gift Aid forms on our database and filing hardcopy forms.

Person specification

Essential

• A sunny disposition, of course!

• An eagerness to learn fast.

• Excellent administrative and organisational skills.

• A brilliant communicator, in particular an excellent phone manner and written skills.

• Have a meticulous eye for detail and a confident multi-tasker.

• Able to work effectively under minimum supervision and use own initiative.

• Excellent IT skills – Microsoft office and web skills.

• An interest in international development and climate change issues.

Desirable

• Educated to degree level, ideally in an international or development discipline.

• Experience of working within a busy office environment.

• Experience of an administrative support role.

• Knowledge of CRM databases.
