Role and Responsibilities
Develop and strengthen Medair’s HQ Logistics capacity in the area of Procurement, Travel and Facilities.
Project Overview
Medair Headquarters (HQ) provides operational guidance for country programmes and activities, along with both technical and compassionate support for our relief workers. Within our headquarters, we are also responsible for promoting the work of Medair to the world, to raise and manage the funds needed to run our life-saving and sustaining programmes. Our headquarters teams are also responsible for recruiting international and HQ staff, and like our field teams, we are committed to serve the world’s most vulnerable with practical and compassionate care.

Key Activity Areas
Procurement
• Act as Medair procurement officer; maintain contact and build relationship with (international) suppliers in various areas.
• Procure items and services for HQ, field and HQ purchases for projects.
• Organize, initiate, follow up and track procurement requests received from HQ ensuring procurement of the right product, at the right time, to the right location, at the right prices using the right procedure.
• Manage supplier contracts and framework agreements, ensuring selected suppliers statuses are up-to-date.
Travel
• Organise and follow up travel requests, ensuring travel is organized in the most efficient way. Liaison with travel agents.
Facilities
• Manage utilities for Medair office; reporting of electricity usage and organising waste disposal.
• Responsible for planning and organising HQ staff induction on Medair office facilities; manage keys and phones for staff, keeping records up-to-date and ensure timely issue and collection of items.
• Responsible for follow up on maintenance requests for Medair office and flats, including procurement of supplies and services within approved budget limitations. Liaise with cleaners, manage cleaning schedules.
Transport, Equipment and Inventory Management
• Act as Medair shipment officer; make sure shipments are organized in time and according to the right procedures, taking into account international, national and customs regulations.
• Follow up shipments and communicate schedules with consignees.
• Deal with internal and external post, express and courier mail.
• Process and provide documentation for incoming equipment and stock items; ensure equipment and inventory records are kept up-to-date when processing field and HQ requests for purchase, repair, disposal and return.
Other
• Support and assist the general work and administration of the Logistics team (data and knowledge management, filing, archiving).
• Develop, implement and support HQ / field staff in logistics working procedures, propose improvements.
• Cover for other Logistics team members when absent.
Qualifications
• Administrative qualification
Languages
• Strong working knowledge of English (spoken and written)
• Working knowledge of French (spoken and written) an asset
Experience / Competencies
• Previous experience in logistics
• Special knowledge on procurement, international transport and travel an asset
• International and humanitarian knowledge
• Negotiation skills desirable
• Enthusiastic, energetic, systematic, organised, work process oriented
• Autonomous, independent but with team attitude, enjoys problem solving

• At least one year of professional experience in a relevant field (more experience preferred)
• Strong working knowledge of English (spoken and written)
• Working knowledge of French (spoken and written) for French-speaking roles
• Competent with MS Office Word, Excel, PowerPoint and Outlook
• Motivated by a spirit of service
• Solid team player
