SCOPE OF RESPONSIBILITIES:
• Execute extensive international travel planning for managers and consultants
• Maintain accounts and liaise with IT representatives, building management and external vendors
• Manage and execute regional logistics for international conference participation
• Provide administrative assistance for USAID-funded Tuberculosis project including managing project eNewsletter and website updates
• Provide executive assistance to project/department directors and consultants
• Monitor and maintain enrollment with necessary charitable registries
• Attend annual regional conferences to bolster member enrollment and distribute organizational information
• Act as point of contact for external and internal communications; liaise with communications department to provide regional information for publications, etc.
• Monitor, maintain stocks and execute orders of office supplies and branded materials
• Receive, screen and direct visitors, phone calls, mail, parcels, faxes and email;
• Manage outgoing international shipments
• Schedule and logistically manage appointments, meetings and teleconferences
• Undertake special projects as needed
QUALIFICATIONS:
• Bachelor's Degree required
• Extensive experience in administration within the non-profit sector
• Experience providing executive assistance at the director and manager level
• Proven ability to meet strict deadlines
• Excellent communication and interpersonal skills (both written and verbal)
• Familiarity and experience with basic website management and upkeep
• Detail-orientated, self-starter with a positive attitude
• Proficient in computer software to include Word, Excel, Outlook, PowerPoint
• Ability to successfully pass full background check.
• Possess a genuine interest in our mission and vision.
• Able to travel domestically and international between 1 and 4 times per year.
• Proficiency in English is required, any additional language would be desirable.
