Purpose of the Position

  • Schedule and oversee the Building infrastructure related operational tasks associated with maintaining a smooth and seamless facilities operation. To include but not limited to repairs associated with building maintenance, air-conditioning, heating, refrigeration, cafeteria fire suppression & exhaust systems, electrical, plumbing, lighting etc.
  • Oversee moves and relocations of staff, reconfigurations of offices & workstation furniture, conference rooms, events related setups & support, and other requests for space renovation and reconfiguration services for all NYHQ locations; 3UN, 633 and Secaucus.
  • Manage and maintain stock of furniture parts and provide specifications when purchase of new furniture is required.
  • Coordinate & Oversee the operational task associated with the NYHQ storage facilities (Secaucus Warehouse & 3UN B1 storage area approximately 40,000sqft), including transportation of goods to/from 3UN, 633 & Secaucus warehouse.
  • Manage and Maintain required building maintenance supplies and inventories.
  • Oversee and Maintain UNICEF related safety and security infrastructure, i.e., Locksmith shop, door locks & keys, Video surveillance equipment, cardkey hardware, Radios, etc. and maintain inventory of all emergencies related supplies, i.e. Flashlights, sleeping bags, cots, etc.

MINIMUM ELIGIBILITY REQUIREMENTS: - NON-US CANDIDATES MUST BE IN POSSESSION OF A US G4 VISA OR BE A US PERMANENT RESIDENT

Key Expected Results

  1. Supervisory Responsibilities

    • Supervises all maintenance personnel (staff, consultants and outsourced temporary assistance).
    • Assists in interviewing and recommending the selection of outsourced and consultants as well as maintenance staff.
    • Supervises and directs technical training of all maintenance staff personnel.
    • Monitors and manages requests for maintenance services via on-line help desk software. Manages assignment of work schedules, distribution of workloads, reviews and approves payroll time sheets for all hourly outsourced maintenance staff, approves annual leaves and vacations of reporting personnel.
    • Supervises all staff relocations and coordinates with staff, divisions, movers and ITD.
    • Supervises and monitors outside contractors during maintenance, repair works, construction and renovation projects in all NYHQ facilities. Schedules Preventive Maintenance and follows up on necessary actions.
  2. Facilities Operations and Maintenance

    • Annually submits detailed work plan for major activities related to building maintenance. Compiles statistics and prepares regular reports for submission to Facilities Services Specialist.
    • Manages service requests for maintenance and building services to include air-conditioning, heating and electrical, lighting, water units and repairs to furniture.
    • Maintains as-built plans of the HQ premises and updated plans of all floors/buildings, to include new space modifications, furniture layouts and security equipment by floor using Computer Aided Facility Management software (Aperture).
    • Carries out regular inspections on maintenance, safety and housekeeping of the warehouse and provides inspection reports quarterly.
    • Reviews and recommends floor plans for all requests for alterations, constructions and renovations prior to commencement of work.
    • Prints various types of signs by using computer software for sign engraving.
    • Maintains stock and prepares Purchase Requisitions for all building maintenance, office and workstation furniture and emergency related supplies.
  3. Security and Safety Premises

    • Member of DFAM Essential and Critical staff for response to all phases of Emergencies at NYHQ.
    • Provides technical expertise in the operation and the mechanical maintenance of electronic security systems, Video Surveillance, doors, exit signs, card readers at 3 UN Plaza Building, 633 TA and NJ Warehouse.
    • Ensures that operating procedures, safety regulations and fire and safety codes are adhered to by staff and outside contractors. Provides input for new and improved ways to safety practices and procedures.
    • Reviews floor plans for compliance with Building Fire and Safety codes.
    • Performs locksmith services. Maintains accurate records of such activities.
  4. Design, Specification and Installation of Furniture

    • In conjunction with Facilities Services Specialist recommends design and specification of furniture in line with UN standardization in terms of space, flexibility and ergonomics. Coordinates delivery and installation with vendors.
    • Manages all requests for furniture. Suggests furniture layout that works best for given space.
    • Performs or arranges for assembly of furniture and equipment. Liaises with vendors for installation and distribution of newly purchased furniture. Arranges for repairs, re-finishing and maintenance of furniture.
    • Liaises with divisions and vendors for installations with regard to official events and conferences. Arranges logistics of space, furniture, lighting and decorations to ensure smooth completion.
  5. Performs ad hoc tasks and activities required in supporting the work of DFAM/AMS Section, as requested by the Deputy Director DFAM/AMS and Chief, Facilities Management Services DFAM/FMS.

Qualifications of Successful Candidate

  • Completion of Secondary Education (e.g. High School Diploma) is a minimum requirement. Technical training in trades - i.e., electrical, construction, plumbing, locksmith, mechanical is considered an asset
  • Minimum of ten (10) years of hands on experience of relevant office maintenance & trades services, i.e. electrical, plumbing, construction, locksmith, mechanical. Five (5) years hands on experience with office modular furniture and partitioning systems a must. Knowledge of Knoll - Morrison & ACME system 375 is an asset.
  • Fluency in English is required. Knowledge of an additional UN Language (Arabic, French, Spanish, Russian, Chinese) is considered an asset.
  • Locksmith License highly desirable.
  • The UN Trades and Crafts Test and/or UN ASAT (Administrative Support Assessment Test) in English is desirable.

Competencies of Successful Candidate

  • Ability to lead by example, demonstrating integrity, creativity and enthusiasm in achieving results directly and through work team.
  • Knowledge of building fire and safety codes.
  • Knowledge of office construction, floor space layouts, electrical installation, partitioning, furniture systems and details of installation.
  • Technical expertise in locksmith, computerized sign engraving, building maintenance, office machine and furniture repair.
  • Ability to analyze problems and work in a team to develop realistic and innovative solutions to problems involving building systems and maintenance, scheduling, technical and other difficulties.
  • Ability to work harmoniously with UNICEF staff, building management of UNICEF House and 633 Third Avenue Building.
  • Excellent communication skills and ability to work in a team sometimes under stressful conditions.
  • Knowledge of AutoCAD and Aperture is desired.
